Reports Built for Stakeholder Delivery

Export PDFs, share links, white-label for clients. Turn technical diagnostics into presentations developers and decision-makers can act on.

From Diagnosis to Deliverable

Technical diagnostics are useless if stakeholders can't understand or access them. Reporting features turn raw audit data into shareable deliverables: PDF exports (free), shareable links (beta), white-label branding (beta), and report history (beta). Whether you're handing findings to your dev team, presenting to executives, or delivering client reports, we've built the output formats you need.

PDF Export Free Tier

Every audit includes PDF export—free or beta. Clean, structured reports you can hand to developers, include in proposals, or archive for compliance.

Shareable Links Beta Feature

Generate a link to any saved report. Recipients view the full audit in their browser—no download, no account needed.

White-Label Branding Beta Feature

Remove BeSeenBy.AI branding. Add your agency logo, brand colors, and company name so reports look like your work, not a third-party tool.

Report History Beta Feature

Every check creates a saved report in your workspace. Track fixes over time, compare runs, and show stakeholders documented progress.

Every Check Creates a Saved Report Beta Feature

With beta access, every audit you run—manual or scheduled—creates a saved report in your workspace.

What Gets Saved

Full diagnostic results

All tab content, raw data, status grades, and change indicators from the time the audit ran.

Report metadata

Timestamp, URL or origin, check type (manual, scheduled, or comparison), and project association.

Historical context

Previous check results, metric deltas, and trend direction indicators so you can see change at a glance.

Why Saved Reports Matter

Retention During Beta

Unlimited retention during the beta period. Post-beta retention will vary by tier: Free (PDF export only, no saved reports), Basic (90 days est.), Pro (1 year+ est.).

Access Every Check You've Ever Run

Report history answers the questions that come up after a change lands in production:

When did this issue first appear?

Did our fix work?

How has performance trended?

What changed during that deployment?

Can I show the client we've made progress?

Using Report History

Timeline view

Chronological list of every check. Click any entry to open the full report for that point in time.

Filter options

Filter by date range, check type, status, or metric to narrow down to the run you need.

Quick actions

From the history list: compare two reports, export PDF, share via link, re-run, or delete.

Professional Reports in Seconds Free Tier

Every audit—free or beta—includes PDF export. Run an audit, click export, get a structured PDF you can share immediately.

What's in the PDF

Report header

Branding, timestamp, URL, and data sources so the reader knows what was checked and when.

Executive summary

Overall status, critical issues, quick wins, and prioritized recommendations at the top of the document.

Performance section

TTFB, CLS, and INP metrics with grades, URL vs origin comparison, and CrUX data freshness.

Crawlability section

robots.txt summary, HTTP status across 4 user agents, noindex status, and a bot-by-bot breakdown for all 33 tracked crawlers.

Content Visibility section

Word count comparison, gap percentage, bot summaries, content diff, render pattern, heading hierarchy, and ARIA stats.

Authority section Beta Feature

Authority grade, page-type classification, schema validation results, and grouped check summaries. Included for beta users only.

Reverse Prompting section Beta Feature

Best-fit prompts, unlikely prompts, evidence citations, and confidence scoring. Included for beta users only.

PDF Use Cases

Send a Link, Not a File Beta Feature

Generate a public or password-protected link to any saved report. Recipients view the full audit in their browser—no PDF download, no account needed.

Link Configuration Options

Access control

  • Public—anyone with the link can view
  • Password-protected—recipient must enter a password
  • Expiring—auto-revoke after 7, 30, or 90 days, or never

Link behavior

  • Static snapshot (default)—shows the report at the time it was shared
  • Live update (planned)—reflects the latest run

Customization

  • Custom slug for readable URLs
  • Meta preview image for social sharing
  • Page title override

Why Links Beat PDFs

Shareable Link Use Cases

Client delivery

Send a link with the full audit instead of attaching a PDF to an email. The client can explore the tabs themselves.

Team collaboration

Share with developers, designers, or project managers who need access to the findings without needing a BeSeenByAI account.

Dashboard embedding

Drop a report link into Notion, Confluence, or any project management tool where stakeholders can reference it inline.

Stakeholder review

Share with a decision-maker before a meeting so they arrive having already reviewed the findings.

External consultant access

Generate an expiring password-protected link for a contractor who needs temporary access without a workspace login.

Who Needs White-Label

Agencies

20 or more clients, all reports export with agency branding. Present AI visibility audits as part of your standard deliverable stack without surfacing your tooling.

Consultants

Maintain professional brand consistency across every deliverable. Clients receive reports that reflect your practice, not a SaaS product you're using.

White-label SEO providers

Resell AI visibility auditing under your own brand. Your clients see your company's reports, not BeSeenBy.AI.

In-house teams with external stakeholders

Present findings to a board or investors without third-party branding. Reports that look like internal analysis, not something you ran through a free tool.

White-Label Workflow

One-time setup (five steps): Upload logo → set brand colors → add company info → write footer text → save profile.

Every report after that: Export PDF or generate a shareable link and your branding is applied automatically. No extra steps.

Two Report Modes for Different Audiences

Same audit data, different presentation depending on who's reading.

Internal Mode (Default)

Audience: Developers, technical teams, SEO specialists

  • Full technical detail, all tabs visible
  • Raw data and evidence included
  • Technical terminology and debug info

Example TTFB finding: "TTFB (p75) at origin level: 1850ms. Exceeds 1800ms threshold for Risk status. CrUX dataset from March 2026. Recommend investigating server response time, database query performance, and CDN cache hit rates."

External Mode Beta Feature

Audience: Decision-makers, executives, clients

  • Executive summary focus
  • Key issues highlighted with plain language
  • Less jargon, actionable recommendations prioritized

Same TTFB finding in external mode: "Page loading speed is slow enough that AI systems may skip your site (Risk level). This affects your entire domain. Recommend: Optimize server performance to improve AI access reliability."

How Teams Use Reports

Agencies Delivering Monthly Client Reports

Scenario: 15 clients, monthly reporting cycle, need consistent branded deliverables without manually building reports.

Workflow: Run scheduled audits for all client projects, export white-labeled PDFs for each, include in monthly client emails.

Result: 15 branded client reports in under 10 minutes.

In-House Teams Post-Deployment

Scenario: A deployment shipped last week. The team wants to confirm nothing regressed and have documentation if something did.

Workflow: Baseline audit before deployment → audit after → export comparison PDF → hand to devs → re-run after any fixes to confirm resolution.

Result: Documented before/after state for the deployment record.

Consultants Justifying Recommendations

Scenario: Client is skeptical about AI visibility issues. You need evidence to justify the scope of work.

Workflow: Discovery audit → include PDF in proposal → after client implements fix → before/after comparison showing the improvement.

Result: Documented ROI for your recommendation.

Founders Managing Technical Debt

Scenario: Quarterly review of site health. Need something to hand developers without writing a technical brief yourself.

Workflow: Quarterly audit → switch to external mode → export PDF → hand to devs → compare quarters to show trend direction.

Result: Quarterly documentation with no manual brief writing.

Report Sections Explained

Every saved report is organized into the same tab structure whether you're viewing it in the app, exporting to PDF, or sharing via link.

Overview Tab

High-level status summary, issue counts by category, and a combined view of what passed, what needs attention, and what is at risk.

Performance Tab

TTFB, CLS, and INP grades with raw values. URL-level vs origin-level comparison. CrUX data source and freshness indicator.

Crawlability Tab

robots.txt summary, HTTP status check across 4 user agents, noindex detection, and per-bot access status for all 33 tracked AI crawlers.

Content Visibility Tab

Word count comparison between rendered and bot-visible HTML, gap percentage, render pattern classification, semantic structure, and ARIA stats.

Authority Tab Beta Feature

Authority grade, page-type classification, JSON-LD schema validation results, and grouped structured data check summaries.

Reverse Prompting Tab Beta Feature

Best-fit prompts this page is likely to answer, unlikely prompts, supporting evidence from the page content, and confidence scoring.

Frequently Asked Questions

Can I customize which sections appear in PDFs?
Section-level hide/show controls are planned for a future update. Currently, PDF exports include all sections available to your plan tier. Beta users see Authority and Reverse Prompting sections; free tier exports include Performance, Crawlability, and Content Visibility.
Do shareable links expire automatically?
Only if you configure them to. When generating a shareable link you can choose no expiry (link stays active until manually revoked), or set an automatic expiry of 7, 30, or 90 days. After expiry, the link redirects to an access-expired page.
Can recipients edit reports via shareable links?
No. Shareable links are read-only. Recipients can view all report tabs, expand sections, and explore the data, but cannot modify the report, re-run the audit, or access any other part of your workspace.
Is white-label branding available in the free tier?
No. White-label branding is a beta platform feature. Free tier PDF exports include BeSeenBy.AI branding. White-label configuration is available to beta users on plans that include it.
How many reports can I save?
During beta, report retention is unlimited. Post-beta, retention will vary by plan. Free tier will not include saved reports (PDF export only). Paid tiers will have plan-specific retention windows—estimates are 90 days for Basic and 1 year or more for Pro. Final retention limits will be documented before public launch.
Can I export reports in formats other than PDF?
PDF is the current export format. Additional formats (CSV data export, raw JSON) are on the roadmap but not yet available. Shareable links provide a browser-based alternative that is interactive rather than static.
Do shareable links work on mobile?
Yes. Shared reports are served from the same responsive web app that powers the full platform. Recipients can view all tabs and sections on any device without needing to download a PDF.
Can I share a link to my entire workspace?
No. Shareable links are scoped to individual reports. You cannot share a link to a project, dashboard, or workspace. This is by design—each shared link is a specific, controlled snapshot of a single audit result.
How do I apply white-label branding to existing reports?
White-label configuration is set at the workspace level. Once you save a brand profile, it applies to new PDF exports and shareable links generated after that point. Existing links or previously exported PDFs are not retroactively updated—you would need to re-export or regenerate the link to apply the new branding.
Can I add my own commentary to reports?
Report annotations and custom commentary fields are on the roadmap but not yet available. Currently, the executive summary introduction can be customized through the white-label configuration, which lets you add a standard opening paragraph to all exported reports.
